Supports Thousands Of Scanning Devices
There are a number of Canon document
scanner drivers built right into the software, however, FileDirector
will support thousands of devices through either a TWAIN or ISIS
interface. The application can also support integration with many
Multi-Functional Devices and photocopiers, many of which have scanning
abilities.
ImagePrinter
The FileDirector image printer allows you to print images straight into FileDirector. For example, a Word document can be instantly converted to an image and saved, along with its index information without the need to open another application. It can also handle both colour and black & white documents.
MailStore Automatic E-mail Storage
Automatic E-mail Storage is available for FileDirector. This option will capture any e-mail that comes through your Microsoft Exchange server and allow them to be archived away with the rest of your documents, searched for and retrieved. This means that an Exchange Server can be cleared up of backlogged e-mail as there will always be a copy residing in FileDirector. When the e-mails are stored a number of details are extracted from them, such as who it was sent to, who it is from and the date; these are then stored as index information in FileDirector. Various rules and filters can also be set up so that junk mail is not captured.
Forms Recognition
FileDirector has the ability to identify numerous form types within your organization. If you have forms which maintain their layout, such as invoices and packing slips, then they can be scanned in together in a large batch, recognized by FileDirector and indexed accordingly. Identification is achieved by finding something unique about a form, and then using that to tell FileDirector which type of form it is.
COLD
A COLD Module is available for FileDirector. COLD stands for Computer Output to Laser Disc, a term which explains old technology which was used to back-up large amounts of data. The process of storing on laser disc is no longer used, however this old data can still remain on old servers and mainframes stored in an AS400 format for example. The COLD module of FileDirector will take this data and convert it into legible pages and images which can in-turn contain index information which can be extracted and entered into FileDirector’s index fields allowing for fast retrieval. Invoice data is a typical example of this.
Colour And Black & White Scanning
FileDirector supports the scanning of both colour and black & white images.
Scan Profiles For Default Document Scanning/Import Settings
A number of scan profiles can be set up in FileDirector which is useful for operators so that the incorrect scanning settings are rarely used. They can also be applied to document types so that documents, for example, that need to be scanned in colour will only ever be scanned with those settings.
Image Deskew, Rotate And Cleanup Options
FileDirector has a number of controls included which will clean up a scanned image so that it appears as clear as possible on-screen. It can automatically straighten up a document which may have been off-centered during the scanning process and rotate them so that they can be read clearly.
ECopy ShareScan OP Integration
Many of today’s scan-enabled multifunctional copier devices are now compatible with ECopy ShareScan. This is a device which attaches to many copier devices and allows you to, not only securely scan a document, but to index it and deliver it straight into FileDirector – all from the one multifunctional device and without the need to index back at your desk. Document Append/Insert
FileDirector has the ability to append or insert documents anywhere within an existing document, this means if you miss or forget to scan some pages they do not have to be stored separately.
Document And Index Import Schedulers
FileDirector has a number of very useful import schedulers available. They will check defined network directories and locations for new documents and index information and automatically import them into FileDirector at timed intervals. This is useful should you want to import a large amount of information as the server will not be overwhelmed with large amounts of data copying.
Microsoft Office Integration
The Microsoft Office Integration function allows documents to be saved directly into FileDirector from Office applications. A ‘Send To FileDirector’ button exists in the toolbars of Word, Excel, Access, PowerPoint and Outlook which, when clicked, will send the document you are working on into the system and prompt you to apply index information to it.
Email Attachments Can Be Saved Separately To Message
Attachments to e-mails can be stored outside of the e-mail they were originally attached to which can be useful when attempting to retrieve that attachment without it’s host e-mail.
Dedicated Capture Licenses & Cost Effective Retrieval Licenses
FileDirector has a flexible licensing structure which will fit into any organization. The user licenses have been split into those that scan and those that perform the other tasks.
Single Application For Scanning, Storing, Classification And Retrieval
The FileDirector WinClient is a single interface that will allow you to perform all day to day functions within one window. Unlike other document management software there is no need for multiple applications to be open at once.
Web Access To Documents With Near-Complete Functionality
FileDirector includes a WebServer interface that can allow you to search for and retrieve documents over the internet providing you have a valid login. Alternatively you can run the entire FileDirector WinClient through a browser giving you access to almost every option available within its interface, including tasks such as scanning.
